Threads & notes
One history per customer,
awkward parts included
A customer does not experience your channels. They experience one long conversation with your company that occasionally changes medium — and they remember all of it, including the bit where you asked their address twice.
Split that conversation across four systems and every seller who touches it starts from partial evidence. They compensate the way anyone would: by asking the customer to repeat themselves, or by guessing. Both are expensive, and the second one is expensive in a way that only shows up later.
In iKonekt the thread is the unit. Chat, form, e-mail, phone note, quote, booking, payment — one list, one order, one place. What a seller sees before they type is everything the company has ever said to this person, which is the minimum required to sound like a company rather than a series of strangers.
- AKChatDo you install on the weekend? I found you through the pricing page.
- BOTAssistantSaturdays, yes. Passed to Marek, who will confirm the slot in the morning.
- @E-mailQuote sent — 2 400 zł, valid 14 days.
- MWNote · privateComparing us with two rivals. Do not go below 2 200. Mentions her sister had us in 2024 — find that job.
- ☎Call12 minutes. Accepted. Asked for Saturday, and asked us to ring the bell rather than knock — dog.
Owner: Marek W.Next: Saturday 10:00
The dog detail is the whole argument
Nobody designs a CRM around remembering that a customer's dog objects to knocking. But that line is why the fitting on Saturday goes well, and it is exactly the kind of thing that lives in one person's head, or in a text message, or nowhere.
A thread that holds the small human details is a thread that survives a handover. When Marek is ill on Saturday morning, the person who goes instead arrives knowing about the dog, the two rivals, and the sister's job in 2024. That is not a feature; it is the difference between a company and ten separate people who share a logo.
Notes are team-visible by default. That was a decision.
The easy design is private notes: each seller keeps their own, nobody is embarrassed, everybody feels safe. It is also how you end up with a company whose knowledge evaporates whenever somebody takes a holiday.
So notes here are visible to the team by default, and carry a private flag for the ones that genuinely should not travel — pricing headroom, an internal opinion about a difficult account, the reason a discount was refused. Private means private from the customer, not from your colleagues. There is no note in this system that a customer-facing reply can accidentally contain.
The practical effect is a mild, useful discipline: people write notes they would be comfortable having read out at a meeting, because they might be. In our experience that improves the notes.
The exception nobody argues with: a note that says "customer was extremely rude to Alicja on Thursday" is team-visible on purpose. Whoever picks up that thread next deserves the warning, and Alicja deserves not to have to explain it twice.
What lives on a thread
Five things, and none of them optional extras
Messages
Every channel, in the order they happened, with the source on each. Long bodies are stored by pointer and rendered live, so a ten-year-old thread still opens quickly.
Notes
Team-visible, private-flagged when they need to be, attributed and timestamped. Written by people, for people.
Tasks
"Ring back Thursday." With an owner, so it is a commitment rather than an intention.
Documents
The quote, the booking confirmation, the invoice — attached to the customer, not to whoever happened to generate them.
The audit trail
Who owned it, when it moved, what changed. Not for surveillance: for answering "how did we get here" without a group reconstruction.
And what does not live here
No engagement score. No colour-coded temperature. If you want to know whether a lead is warm, the evidence is right there in the reading.
“Remind me what we told them?”
Nobody should have to ask that.
One customer, one history, every channel they have ever used — including the phone call, including the note about the dog. Handovers stop being interviews.
